Introduction
This guide mainly introduces that how to connect Yeastar PBX with Outlook, so you can use the call feature on Outlook. The functions includes:
- Dial from contact of the Outlook
- Incoming calls from contacts with pop-up notification.
- Journal (take a note for the call)
- Create new Outlook contact
In this article, the testing environment is below:
- Yeastar S100 version: 30.5.0.8
- Outlook 2016
- OutcaLL 2.0
How to Connect S-Series VoIP PBX with Outlook
1. Outlook Add-In (Plug-In)
To make a call from Outlook, it needs to install the Add-In on Outlook, I suggest you can select the OutcaLL plugin, which is free to use.
Note : The Outlook Add-In is only supported in the Professional version.
You can go to file -> Office Account to check the version of the Outlook you use.
1.1 Please go file -> options -> add-in, then you can see the OutcaLL plugin, just select it-> set the manage with COM Add-in -> click Go button, like below screenshot:
1.2 After you click Go button, you will see below screenshot, just click to complete the installation.
1.3 At last you can see the OutcaLL Plugin on the bar tool of the Outlook.
2. Connect the OutCaLL with PBX
OutCALL is an application designed for integration with Microsoft Outlook while placing and receiving phone calls. The application includes: Outlook contacts integration, incoming calls pop-up window notification. Download OutCALL here
2.1 Enable AMI on Yeastar S-Series IPPBX
1) Log in S-Series IPPBX web interface, navigate to Settings -> System -> Security -> Service, enable AMI feature.
2) Specify the AMI username and password according to your needs. Here we set the username and password as below:
Username: admin
Password: password
- Add a permitted IP/submit mask that will be allowed to access S-Series IPPBX via AMI. For example, 192.168.5.100/255.255.255.255 means only the device whose ip address is 192.168.5.100 is allowed to use AMI;
192.168.5.0/255.255.255.0 means only the device whose ip section is 192.168.5.XXX is allowed to use AMI.
2.2 Configure OutCALL application
1)Launch OutCaLL, right click at the bottom right corner of your desktop, go to Settings > Server, configure the server settings.
. Server: IP of Yeastar S-Series IPPBX
.Username: enter the username of AMI
.Password: enter the password of AMI
.Port: 5038
2)Go to Settings > Extensions, click Add, and configure the extension, then click OK.
. Extension: enter an extension number of Yeastar S-Series IPPBX.
. Protocol: choose PJSIP.
Go to Settings > Dialing rules > General, set the Outgoing context. The format of Outgoing context is DLPN_DialPlanXXXX, XXXX means extension number.
3)Click OKand Apply. If the OutCALL is successfully connected to Yeastar S-Series IPPBX, the icon status will turn to.
If it still can not be connected, please click sign it to make it take effect like below screenshot:
4) Synchronize contacts from Outlook
Right click, then click Sync Contacts > From Outlook, OutCaLL will synchronize contacts from Outlook.
5)Test Calls on OutCALL
Launch OutCALL, the following figure will appear. You can type phone number in the Phone field or choose a contact number, click Call to call the number.
Your extension 1009 will first ring, pick up the call and the call will be established between extension 1009 and the destination number.
If there is a call from 1010 reaching extension 1009, you will see a pop-up window on OutCALL as below.
3.Enable the outlook feature on the OutCaLL settings
On the OutCaLL, please go to Settings > Dialing rules >Outlook, then select all the option like below screenshot:
Then all configurations is done.
How It Performs?
1. Dial from contacts of the Outlook
Go to the contact list on your Outlook, right click the person you want to call, click the OutCaLL option, then it will dial phone number you set up in the contact.
2. Incoming calls from contacts with pop-up notification
When you receive a call from the contacts,the Outlook will pop-up the notification like below screenshot. So you can know who calls you, and any other information of the contact.
3. Journal (take a note for the call)
When you receive a call from the contact, the Outlook will pop up, you will find the Notes on the right of the page, then you can write content of the call on the Notes.After you click the save button, then Notes will be saved in the contact settings.
So next time you receive the call from the same contact, you will know the content of the last call from the notes.
4. Create new outlook contacts
If you receive the call which is not from the Outlook contacts, the Outlook page will also pop up with only a phone number, then you can input some information of the caller to create a new contact.
